Booking Terms & Conditions

All booking fees are non-refundable and non-transferable outside of our 24 hour cancellation period. 

Our 24-hour cancellation policy allows you to cancel any booking within 24 hours of the original booking being made by calling our Customer Service Team on 01708 766395. However, this does not apply where a course has been purchased on a special offer or at a discounted price. 

24-Hour Cancellation Policy
You may cancel your booking within 24 hours of making the original booking by calling our Customer Service Team on 01708 766395. You will receive a refund (excluding any card, other administrative fees of NVQ fees). A cancellation fee may be charged at £20. Refunds will be made via the same method of payment that was made at the point of booking and may take 3-5 days to arrive.  

Course/Booking Fees 
Deposits or the full amount of course/s are paid at the time of booking. Where a deposit has been paid to secure a course date, the full balance will be required 7 days prior to the date of training. 

Please note that we reserve the right to amend course prices or run promotions/offers/discounts at any time, without prior notice. Once a booking is made, the price is final, and no price difference can be refunded in the event of a later course price reduction. All booking fees are non-refundable and non-transferable outside of our 24 hour cancellation period. 

Halls of Ivy are unable to offer refunds for cancellations due to: i.e.adverse weather conditions, flooding, industrial actions, terrorist attacks etc an alternative date of training will be offered. Halls of Ivy are not responsible for any loss of income/accommodation/travel/childcare costs etc students may incur due to the cancellation of courses.

Special Offers
Special offers and discounts are subject to availability per person, per course and per site. Once booked, no refunds will be issued on any special offers or discounted courses. Courses are non-transferable.  No other offer can be used in conjunction with any other offer. 

If you do not attend your booked course, you will be charged the full cost of the course, no refunds or transfers are issued. 

Rescheduling Requests 
In the event of a genuine reason for cancellation of any course notified prior to the course start date a transfer will be considered at the discretion of Halls of Ivy, subject to availability. (Proof of reason may be required). Any authorised rescheduling of course dates will incur a £40 rescheduling fee. 

All requests will be assessed and may result in loss of course fees. If you are unable to attend for a medical reason, a valid medical certificate covering the name of student and the day of training will be required to waiver the admin fee to reschedule. 

Under medical or compassionate circumstances (Proof of which may be required) and where immediate rescheduling may not be possible, a credit for all or part of the course fee will be placed on file. Credits will be valid towards training courses only and can be used for a period of 6 months from the date of issue. No refunds of course fees are issued. 

In the event Halls of Ivy should have to cancel your course for reasons outside of our control, we will endeavour to give students 24 hours’ notice of any cancellation by telephone and or email. Halls of Ivy are not responsible for any loss of income/accommodation/travel/childcare costs etc students may incur due to the cancellation of courses. 

All courses are taught in English, therefore all students are required to have a good understanding of English language, both written and spoken. This is essential to ensure the tutor is able to assess the students competency of all required aspects to successfully achieve the booked course. 

Medical Conditions/ Training Needs

Please ensure you make us aware of any health conditions and/or medications currently taken that may affect your training. All students are required to disclose any medical conditions at the time booking which will be treated with the strictest confidence. Students may be required to receive treatments as part of the training, adjustments can be made to accommodate medical conditions where possible and practical. A medical certificate may be required for insurance reasons. 

Please inform us of any additional training needs you may have in order for us to make your training day as supportive and enjoyable as possible. 

Equal Opportunity Pricing 
Our pricing structure reflects the love we have for the industry as we want training opportunities to be available for everyone. To maintain our pricing structure courses are reviewed 7 days prior to the course date, Halls of Ivy require a minimum number of 4 fully paid students on any course in order to take place, in the unfortunate case that there are not 4 students, the course will be rescheduled to an alternative date and students will be informed or refunded. Halls of Ivy are not responsible for any loss of income/accommodation/travel/childcare costs etc students may incur due to the cancellation of courses.

Named Student
Booked training is non-transferable to an alternative student. Please ensure the booking is made in the correct name at the time of payment Amendments to this will be chargeable at £40 per course date/person, where possible for a change to be accommodated a minimum of 48 hours’ notice prior to the course date is required, in writing to 

Training Day
We recommend wearing professional attire such as a beauty tunic or scrubs, please wear smart suitable clothing with closed flat shoes. 

Please also note that some courses may require students to work on one another for practical elements or you may be require you to prepare a model. Please note that the booking and subsequent management of any models is the responsibility of the student, and Halls of Ivy cannot accept any responsibility should the model be unable to attend. 

If you have booked a course that requires you to bring relevant equipment with you, we will inform you of this prior to the course date. If you attend without the necessary equipment, you will be unable to complete the course and your course fee will not be refunded or transferred. 

Some courses may require you or your model to attend for a patch test 24-48 hours prior to the course start date, this can be booked Monday-Friday 9am-5pm at our Chelmsford or Romford centres. Please contact 01708 766395. Failure to meet a patch test requirement may result in the student being unable to participate fully in the class, no refunds or requests to reschedule a course issued. 

Please arrive on time, details of your course timings are sent to you in advance. All students must attend the full day of training unless otherwise agreed. If you arrive after the course start time, you may not be permitted to attend the class. Should you choose to leave before the course end time you will not be issued with completion certification and no refunds will be issued. 

Halls of Ivy accepts no responsibility for private property whilst on the premises, including accepting any liability should lost property be returned for any reason to someone who is not the owner. 

Please note that all courses may be mixed sex groups, male students are required to provide a female model for waxing courses. If you have personal or religious reasons where you require a same sex training environment please discuss this with our courses advisors prior to booking. 

Student & Model Consent 
While in attendance on any course there may be videos, photos or recordings of students and models during training which are used for social media or marketing purposes. If you would not like to appear on our social media please let us know in advance.  

ABT Accredited Courses 

Most ABT diploma certificates are issued on the day of training, accept where courses require cases studies to be completed prior to certification. Certificates will be prepared in the student name on the booking. Replacement certificates can be requested at a cost of £10. 

Insurance can be obtained from ABT directly. 

VTCT Courses 
Halls of Ivy offer a variety of VTCT qualifications, course fees can be paid in full at the time of booking or a deposit can be paid with the remaining balance being payable with an agreed instalment plan. Please contact us to discuss flexible payment plans. 

All booking fees are non-refundable and non-transferable outside of our 24 hour cancellation period. Halls of Ivy are under no obligation to extend the duration of any course due to poor attendance and punctuality. 

Following completion of your chosen VTCT qualification, there will be an IQA, EQA process and certificates are only issued following this which we anticipate to take a 28 day period but delays in certification can arise. As part of this quality process you may be asked to attend the academy for an assessment on a different day that your planned course day to be observed. Halls of Ivy will endeavour to give learners as much notice as possible of any planned EQA observations. 

Payment Plans
Interest free flexible payment plans are available with Halls of Ivy, please contact us to arrange. The student will be liable for the full cost of the course upon booking and will be liable for the full cost of the course in any event they leave the course.

Failure to make any agreed payments on time could result in the student being unable to continue with their course of study and in any case no refunds will be made. 

If a student fails to complete the full course or all elements of their chosen qualification Halls of Ivy are not obliged to offer any additional training, extend the course duration, or certify the student. Any additional training/assessment dates may be agreed at the discretion of Halls of Ivy and additional training fees will be applied. The student will be liable for the full costs of the course regardless of whether they complete the qualification in part or full.
